Privacy Policy

How we handle your personal information and the public record data we provide.

1. Scope of service.

Ohio Probate Data provides probate lead data exclusively for seven counties in Southwest Ohio: Greene, Warren, Montgomery, Clark, Butler, Miami, and Hamilton.

Ohio Probate Data does not provide legal advice, and users are responsible for compliance with applicable marketing, privacy, and data usage laws.

2. Public record data sourcing.

All lead data is sourced directly from official county probate court dockets. We review these filings weekly.

Field availability varies by county and by case. We do not provide skip tracing, credit headers, or any form of data enrichment from private databases.

When property details are included, they are sourced only from public county auditor records and only when the probate docket lists a property address.

3. Customer information we collect.

To provide our subscription service, we collect personal information necessary for account management and billing:

  • Account credentials. Your name and email.
  • Billing data. Payment processing is handled by a secure third party (PayPal). We do not store full credit card details.
  • Support history. Records of email correspondence sent to our support team.

4. Data retention.

  • Customer data. We retain account and billing records for the duration of your subscription and as required by tax or legal obligations.
  • Public record data. We maintain historical archives of the probate filings we collect and format from court dockets. These reflect the public record at the time of collection and may change as courts update their filings.

5. Information sharing.

We do not sell customer lists or personal contact information to third party advertisers. We only share with essential service providers (payment processor, hosting) to maintain operations.

Contact form. When you submit a message through our contact form, your submission is processed by Web3Forms, which transmits it to our inbox over HTTPS and stores it temporarily (up to 30 days). See the Web3Forms Privacy Policy.

Site analytics and session recordings. We use Google Analytics 4 and Microsoft Clarity to understand how visitors find and use the site. Clarity records anonymized session replays and heatmaps with content masking enabled by default, and Microsoft documents that IP addresses are anonymized server-side. Neither tool is used to identify individual visitors or to enrich the public-record probate data we publish. See the Microsoft Clarity data practices.

6. Security and compliance.

We implement industry standard measures to protect the integrity of your account data. Our data collection process is focused solely on organized public records and does not involve accessing private consumer files or non public financial data.

7. Your rights.

You may request access to or deletion of your account information at any time. Note that account deletion will result in the immediate termination of your access to weekly data reports.
